Manager Territory Feedback

Managers reviewing changes to users’ territories using Integrated Territory Feedback can review, reject, and approve challenges made by roster members via a dedicated tab, enabling managers to quickly review changes made by roster members and take the appropriate action to complete the Territory Feedback process.

For example, Sarah Jones is assigned to a territory with three child territories, and is the manager of the roster members assigned to these child territories. Each roster member reviews upcoming changes to their territory and makes challenges using Integrated Territory Feedback before submitting their pending challenges to Sarah for approval. Using the Territory Feedback tab, Sarah sees the current status of each of her roster members’ feedback. She reviews each roster member’s individual pending challenges and approves or rejects them accordingly before moving the territories into the next lifecycle state.

Considerations

  • Managers are prevented from accessing the Territory Feedback tab when large numbers of territories are moved to different lifecycle states. Managers are notified via email once processing is complete.
  • Team Selling is not currently supported when using this feature

Prerequisites

Configuring Manager Territory Feedback

To configure this feature:

  1. Grant admins and managers access to the Territory Feedback tab.

    If Classic Territory Feedback was previously enabled in the org, remove access to the Future Territory Alignments tab as well.

  2. Grant admins and managers access to the TerritoryFeedbackSettings Apex class.
  3. Enable Flow Access for managers. This can be done at three levels:

    • Permission Set Level – Under System Permissions, select the Run Flows check box
    • Profile Level – Under General User Permissions, select the Run Flows check box

    The Run Flows permission on the User object will be retired by Salesforce in their Summer '22 Release and should not be used.

  4. Navigate to Setup > Trusted URLs.
  5. Select New Trusted URL.
  6. Populate the following fields:

    • Trusted Site Name – VeevaAlign
    • Trusted Site URL – https://*.veevaalign.com
    • Active – Selected
    • Context – LEX
    • Allow site for connect-src – Selected
  7. Select Save.

It may take several minutes for the trusted site record to take effect.

Viewing the Territories Screen

To view all territories the manager is responsible for, navigate to the Territory Feedback tab.

If the manager is responsible for multiple field forces, each field force’s territories are displayed in a separate sub-tab within the Territory Feedback tab.

Selecting the Info () button displays information about the project’s start date, end date, geography changes, and due date for feedback.

If the feedback_instructions__aln field on the project__aln record in Align is populated, instructions display on this panel as well.

Senior managers, managers with assigned child territories that serve as parent territories themselves, can navigate the territory hierarchy below them. For senior managers, the values displayed in the table represent the sum of all territories below them in the hierarchy.

Viewing Territories When Assigned to Multiple Field Plans

If the manager has access to more than one project currently in a Feedback state in Align, the Field Plans screen displays when the manager navigates to the Territory Feedback tab.

If available, each field plan displays the start and end dates of its cycle, as well as the due date for feedback. Selecting a field plan displays the Territories page for that field plan.

Viewing and Resolving Pending Challenges on Child Territories

Managers can use the Territory Table to view each child territory’s assigned roster member, status, and changes.

Selecting the link in the Geo Changes column displays the complete list of geographies being added or removed from the territory.

Selecting the link in the Total Challenges or Pending Approval columns displays the roster member’s challenges. Additionally, Total Channel and Product Goals columns also display.

If the child territory in the table is also a parent territory, the values in these columns represent the territory and any associated child territories.

Actions on Child Territories

Managers can use Actions drop-down menu in the Territories Table to perform the following tasks on the child territory. Available actions display based on the current state of the territory:

Move to Lifecycle States

One action displays for each lifecycle state the manager has permission to move the territory into.

If the territory has pending challenges, a modal displays requiring managers to approve or reject all outstanding pending challenges related to the territory or its child territories.

A modal displays if any child territories are not allowed to be moved to the selected lifecycle state, informing the manager these child territories are ignored.

Moving large numbers of territories into a different lifecycle state at once may take a few minutes to process.

  • The manager has permission to move the territory into the respective lifecycle state

Return to Roster Member

Returns the territory to the Feedback lifecycle state and reassigns Territory Feedback to the corresponding roster member.

  • The territory is not a parent territory
  • The manager is allowed to move the territory to the Feedback lifecycle state

Return All to Roster Members

Returns the parent and all associated child territories to the Feedback lifecycle state and reassigns Territory feedback to the corresponding roster members.

  • The territory is a parent territory
  • The manager is allowed to move the territory to the Feedback lifecycle state
  • The manager is allowed to move at least one of the child territories to the Feedback lifecycle state

Viewing Accounts in a Territory as a Manager

Managers can use the Accounts screen to perform the following actions:

  • View Challenge and Goal information via grouped columns
  • Columns representing the account’s name and challenge actions are static, ensuring they always display when horizontally scrolling the Accounts table
  • Apply and clear filters from any one or more columns containing data
  • View accounts in the territory grouped based on if they were removed from the territory
  • View edits to target goals within the goal columns as green up-arrows and red down-arrows, indicating whether the goal was increased or decreased

The table on the Accounts screen contains all of the accounts in the territory, indicating any challenges against the account made by the end user.

Managers can review challenges made against accounts in the territory via the Challenge group of columns. To quickly see which pending challenges require review, the cells in the Status column are shaded yellow for pending challenges and green for accepted challenges.

The channel groups of columns display changes made by end users to a target’s goals. Edits to target goals display with green up-arrows and red down-arrows, indicating whether the goal was increased or decreased.

Managers can select the Gear menu from the Accounts screen:

  • Approve pending challenges
  • Reject pending challenges
  • Move the territory to the next lifecycle state
  • Return the territory to the assigned roster member

Sorting the Accounts Table

To quickly view relevant groups of accounts, rows in the Accounts table are grouped into the following collapsible group rows:

  • Account Assignments – Contains all in-territory accounts
  • Drops – Contains all accounts that were removed from the territory for the upcoming cycle

Sort columns by selecting the sort button on the appropriate column. Columns initially sort in ascending order. To reverse sort, select the button a second time.

Sorting occurs separately within each of the two row groups. For example, if the manager selects to sort the list of accounts alphabetically, all rows within the Account Assignments group sort alphabetically, then all rows within the Drops group separately sort alphabetically.

Filtering the Accounts Table

Filter any column containing data by selecting the column header and entering the appropriate filter conditions.

You can apply multiple filters at once for even more specific table contents.

Additionally, the table displays as pre-filtered if the manager navigated to the Accounts table by selecting a value in one of the following columns of the Territories table:

Remove a column’s filter by right-clicking the column header and selecting Remove filter.

Select the Clear Filters button to clear all applied filters.

Approving or Rejecting Challenges

From the Accounts screen, users can approve or reject challenges either in bulk or individually.

To select an individual challenges to approve or reject:

  1. Navigate to the appropriate row in the table.
  2. Select either the Thumbs Up or Thumbs Down buttons.

To select many pending challenges to approve or reject:

  1. Select the check box for the appropriate rows. Select the check box in the column header to select all displayed rows at once.
  2. Select either the Thumbs Up or Thumbs Down buttons in the page header.

If the pending challenge was a multi-faceted challenge, for example, if the end user created a Remove Account challenge on an account designated as a target, managers can approve certain aspects of the challenge:

  1. Navigate to the appropriate row.
  2. Select the More Actions dropdown button in the Actions column.
  3. Select the appropriate action. Available actions are:

    • Approve “Add Account” Only – Displays if the end user created an Add Target challenge against an account outside of their territory. Selecting this option adds the account to the territory, but does not designate it as a target.
    • Approve “Remove Target” Only – Displays if the end user created a Remove Account challenge against a target. Selecting this option removes the target designation from the account, but keeps the account in the territory.

Territory Feedback Metrics in Manager Feedback

To better visualize territory feedback metrics, including targets, goals, and pending challenges, managers can view this information within Manager Feedback. Managers can use these metrics to see adjustments made to territories in real time, enabling them to ensure any company guidelines for territories are met.

For example, Sarah Jones is a manager reviewing feedback on one of her child territories. Company guidelines state that end users should have a minimum of 100 targets during the course of the cycle. She views the territory’s metrics from Manager Feedback and sees that the territory does not have enough targets assigned. Sarah uses this information to adjust the number of targets in the territory appropriately.

This feature does not require configuration.

To view a territory’s metrics, select the Info button from the Accounts Screen of a child territory. The following metrics display:

  • Challenges
  • Accounts – The Targets metric in this section only displays if the field force has an MC Cycle associated with the upcoming cycle
  • Total Goals – Only displays if the field force has an MC Cycle associated with it in the upcoming cycle

Selecting any metric applies the appropriate filter to the list of accounts in the territory.

Searching Within a Territory as a Manager

To quickly review and create challenges against specific accounts, managers can filter the Account column to search for an account within their territory.

For example, Sarah Jones is a manager reviewing upcoming changes to her parent territory. From the Accounts screen, she searches for Clinton Ackerman to review any changes to his target status, as well as any changes to his account’s various goals.

This feature does not require configuration.

Using the Search Bar

Searching in the Accounts screen searches against the following information:

  • The account’s formatted name
  • All text-type account or address columns

Search terms are case insensitive and respect all applied filters.

Search terms containing spaces are joined together with an AND statement. For example, entering Ack Jer would display Clinton Ackerman based out of New Jersey as a result, but not Bob Adams based out of New Jersey.
